Privacy Policy
Last updated: October 10, 2026
In plain English
- We collect what you give us — your name, email, phone, state, trade and typical project value — when you request a call or chat with Mia, and what we need to run the Services if you become a client.
- We use it to reply to you, deliver the Services and bill you. We do not sell personal data.
- This site has no advertising cookies or analytics trackers today.
- If you check the SMS box, we may text you about your request, including messages written with the help of AI. Reply STOP to any text to opt out. We never share your SMS opt-in or phone number with anyone for marketing.
- We use trusted providers (Stripe, Cal.com, Netlify, Google Workspace, AI model providers) to run the business. They only process data for us.
- You can ask what we hold about you and have it corrected or deleted: hello@sellwithmia.ai.

1. Who we are
SELL WITH MIA LTD ("Sell with Mia", "we", "us") is the controller of the personal data described in this policy. We are a private limited company registered in England and Wales under company number 17290156, with our registered office at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom. Our team works from the United States. Contact us at hello@sellwithmia.ai.
2. Who this policy covers
This policy covers visitors to sellwithmia.ai, people who request a call or book a meeting with us, our clients and their staff, and — in a different role explained in section 8 — the leads and customers of our clients whose data we process on the client's behalf.
3. Information we collect
Information you give us
- When you request a call: your name, email address, cell phone number, state, trade, typical project value and, if you add it, how homeowner inquiries reach you today, plus whether you agreed to receive texts.
- When you chat with Mia on our site: your answers and the full conversation. The chat is run by an AI model provider (Anthropic), which processes your messages to generate Mia's replies; the transcript and a short summary are stored with your request.
- If you become a client: your name, email address, business name and details, billing contact, and the information about your business, services and pricing we need to build and run your system.
- The content of calls, messages and emails between you and us.
Information collected automatically
- Our hosting provider, Netlify, records standard technical data such as your IP address, browser type and the pages requested, for security and to keep the site running.
- The site loads its typeface from Google Fonts, which means your browser sends your IP address to Google when a page loads.
- We do not use advertising cookies, tracking pixels or analytics trackers on this site today. If we add any, we will update this policy and ask for your consent where the law requires it.
Information from third parties
- If you book a meeting through Cal.com, we receive the booking details you enter there.
- Payments are handled by Stripe. We receive the payment confirmation, the last four digits of your card and your billing details. We never see or store your full card number.
4. How we use it and why
| Purpose | Data | Legal basis (UK GDPR) |
|---|---|---|
| Replying to your request and holding the sales call | Contact and business details | Steps you ask us to take before a contract; our legitimate interest in responding to inquiries |
| Delivering the Services and supporting you | Client, campaign and account data | Performance of our contract with you |
| Billing, accounting and tax | Billing details, payment confirmations | Contract; legal obligation |
| Texting or calling you about your request | Phone number | Your consent, which you can withdraw at any time |
| Improving the Services | Usage and performance data | Our legitimate interest in making the Services better |
| Security, fraud prevention and legal compliance | Technical data, records of our dealings | Legitimate interests; legal obligation |
5. Texting and calling
SMS/Text messaging. When you opt in on our website, we may send you text messages about your request, scheduling, and our services, including messages written with the help of AI. Message frequency varies (typically up to 4 messages per month). Message and data rates may apply. Reply STOP to opt out at any time; reply HELP for help. We do not share your mobile phone number or your text-messaging consent with third parties or affiliates for their marketing or promotional purposes. We collect your name, phone number, email, and the answers you provide, and use them to deliver the services you requested and to communicate with you. We may also call you about your request. Consent to receive texts is not a condition of buying anything from us.
6. Who we share it with
We share personal data only with the providers we need to run the business, and only for that purpose:
- Stripe — payments and billing.
- Cal.com — meeting booking.
- Netlify — website hosting and form submissions.
- Google Workspace — email, calendar and documents.
- AI model providers, such as Anthropic — running the chat on our site and generating and reviewing content as part of the Services. We use providers that do not train their models on our customers' data.
- Advertising platforms, such as Meta and Google — when we run campaigns for clients, through the client's own ad accounts.
- Professional advisers (accountants, lawyers) and authorities where the law requires it.
- A buyer of our business, if we ever sell it, with notice to you.
We do not sell personal data, and we do not share it with third parties for their own advertising. We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. All the above categories exclude text messaging originator opt-in data and consent; this information won't be shared with any third parties.
7. Where your data is processed
We are a UK company whose team and most providers operate in the United States, so your data may be stored and processed in the US and the UK. Where UK data-protection law requires safeguards for international transfers, we use approved mechanisms such as the UK International Data Transfer Agreement or standard contractual clauses.
8. Our clients' leads and customers
When we run a client's campaigns and follow-up, we process the personal data of the people who respond — their name, contact details, project details and messages. We do this on the client's behalf and on the client's instructions; the client is responsible for that data under the laws that apply to them, and we act as their processor.
If you are one of those people and want to exercise your rights, contact the business you were dealing with, or write to us at hello@sellwithmia.ai and we will pass your request on. You can opt out of automated messages at any time by replying STOP.
9. How long we keep it
- Inquiries that do not become clients, including chat transcripts: up to 24 months after our last contact.
- Client records: for the length of the contract and up to 7 years after it ends, for tax and accounting.
- Lead data processed for clients: for the length of the client's contract, then returned or deleted on the client's instructions.
- Technical logs: the short retention period set by our hosting provider.
10. Security
We protect personal data with encrypted connections (HTTPS), access limited to the people who need it, reputable providers, and no storage of full card numbers. No method is perfectly secure; if you suspect a problem with your data, tell us promptly.
11. Your rights
Under UK data-protection law you can ask us for a copy of your personal data, ask us to correct or delete it, restrict or object to how we use it, ask for a portable copy, and withdraw consent at any time. You can also complain to the UK Information Commissioner's Office at ico.org.uk. Residents of some US states have similar rights under state law. We honor these requests from anyone, wherever you live: email hello@sellwithmia.ai and we will respond within 30 days.
12. Children
The Site and the Services are for businesses and are not directed at anyone under 18. We do not knowingly collect personal data from children.
13. Changes to this policy
We post updates to this policy on this page with a new date. Material changes affecting existing clients are also sent by email.
